Error: “An error occurred when QuickBooks tried to access the company file. Please try again"

This error is generally faced by Macintosh or Mac users. This error usually occurs when QuickBooks tries to open a backup company file that it created. The error code for this problem is '-9, 0'. This issue is usually caused when using QuickBooks 2006 or later when the software tries to open a 'backup for Windows' file that it had created with QuickBooks Mac 2006. This is caused when there is a corrupted audit trail data in the Mac file or if special characters are in the Memo field of a transaction.

In order to fix this error, you will have to follow the following steps.

If you have a corrupted audit trail in the Mac file you will first have to determine the date of the earliest transaction in the company file. Then select the Reports Menu and select Custom Transaction Detail Report. Then Click the 'Dates' dropdown arrow and select all. Then click on the 'Sort By' dropdown and select date. You will then need to condense these files. For this, select the file menu and the select utilities followed by Condense Data. Then enter a date prior to the earliest transaction date prior to the earliest transaction date and select All Audit Trail Information. Once the Condense completes, convert the file again.

If you have special characters in the Memo field of a transaction, you will need to edit the characters. To do so, select the reports menu and then select Custom Transaction Detail Report. Then you will need to click the Dates drop-down arrow and then select all. Once that is done, click the Modify Report button and then make sure that the Memo column is selected in the Columns list. Click OK. Once you do that check the Memo column in the report for any memos that contain special characters or more than 50 characters. If it is required, edit any transactions to remove special characters or to shorten memos exceeding 50 characters. Then you will need to convert the file again.

Error -6032, -158: An error occurred when QuickBooks tried to access the company file.

One possibility is that there may be one or more QuickBooks support files that may have been damaged. Usually, these files are the Transaction Log, the Network Descriptor and the Data Source Name. It could even be possible that the company file itself is damaged or encryption software has been installed. Damages can occur due to a virus or when a file conversion gets stopped midway due to poor internet connection or the computer being switched off.

Important: If you're using QuickBooks 2013 or Enterprise 13.0, update to the latest release (free) to help resolve this problem updating your company file.

  1. Open the older version of QuickBooks.
Note: If the newer version of QuickBooks overwrote the older version, uninstall both versions, and then reinstall them to separate folders. This enables you to work in both versions on the same computer.
  2. Restore the backup that was made during the update process. If necessary, refer to the QuickBooks Help for instructions on how to restore a backup in your version
Note: Do not overwrite the original company file during this step. If the message "filename already exists" appears, modify the file name to make it unique.
  3. Prepare your data file for updating to a new version.
  4. Start the newer version of QuickBooks.
  5. Open your data file in the new version and follow the process to update your company data file.
